What Does a Wedding Service & Bar Team Actually Do?

You’ve booked the venue. You know what everyone’s eating. The drinks list is coming together. Maybe you’ve even started thinking about the glassware.

But there’s one question that’s surprisingly easy to overlook...

Who’s actually going to serve it all?

If you’re planning a marquee wedding, getting married at home, using a dry-hire venue or bringing in your own caterer and drinks, you may need a separate team to look after the service and bar!

And there’s a lot more to it than carrying a few plates and pouring a few glasses of fizz.

Here’s what our team can actually be doing behind the scenes while you’re busy getting married.

Before your guests even arrive…

There’s plenty happening before the first glass of fizz is poured.

Depending on your wedding and what your other suppliers are providing, our team can be helping to get everything ready for service, setting up drinks stations, checking glassware, chilling drinks and working alongside your caterer, venue and other suppliers.

It’s also a chance for everyone working on the day to get on the same page about timings and what needs to happen when.

By the time your guests arrive, everything should feel ready for them.

Keeping the food service running smoothly

Whether you’re having a formal three-course dinner, huge sharing boards down the middle of the tables, a relaxed buffet or something completely different, your caterer and service team need to work closely together.

Our service teams can help with getting food to your guests, clearing plates, keeping water and wine topped up, resetting tables and making sure service keeps moving.

But a good service team isn’t just waiting to be told what to do.

They’re noticing that a table needs clearing, spotting that someone needs another drink and seeing the little jobs that need doing before they become a problem.

And then there’s the bar...

If you’re buying your own wedding drinks, hiring a bar set-up or creating a DIY bar, someone still needs to run it.

That’s where our bar teams come in.

From beer, wine and spirits to cocktails and plenty of fizz, our crew can serve your guests, keep drinks chilled, restock throughout the night, manage glassware and keep the bar looking tidy.

And the bar doesn’t necessarily start when the evening party does.

Your team might be serving welcome drinks after the ceremony, pouring wine during dinner, getting the fizz ready for speeches and then moving over to the main bar as the evening gets going.

You provide the drinks. We’ll make sure they actually make it into your guests’ hands 🥂

Sometimes you need a service team AND a bar team

This is something couples don’t always realise when they first start planning.

The number of people you need can change throughout your wedding day.

You might need a bigger team while 120 guests are being served dinner, but fewer people once the tables are cleared. At the same time, your evening bar might be getting busier and need its own dedicated crew.

That’s why we don’t expect you to come to us knowing exactly how many people you need or for how many hours.

Tell us your guest numbers, venue, timings, food and drinks plans and we can help you work out what makes sense.

The jobs you probably won’t even notice

Some of the most important jobs at a wedding are the ones nobody really sees.

Collecting the glasses that have migrated around the venue. Restocking the bar. Polishing glassware. Clearing tables. Refreshing water. Sorting rubbish. Finding another bag of ice. Helping another supplier when they suddenly need an extra pair of hands.

And, inevitably, dealing with the little unexpected things that happen at every event.

These jobs aren’t particularly glamorous, but when they’re being taken care of properly, they make a huge difference to how the whole day feels.

Your family shouldn’t have to do it

It can be tempting, especially with DIY weddings, to think that friends and family can help with a few of these jobs.

And of course they can.

But do you really want your mum collecting empty glasses? Your best man disappearing to find more ice? Or your bridesmaids clearing plates when they could be on the dance floor?

Your guests are there to celebrate with you.

Let them.

Having an experienced team there means everyone you invited gets to actually enjoy the wedding, rather than quietly being given jobs throughout the day.

The best service feels effortless

When a great wedding service and bar team are doing their job, you probably won’t notice half of what they’re doing.

The drinks are cold. The glasses are topped up. Dinner comes out. Plates disappear. The bar keeps moving. Little problems get sorted.

You just get to enjoy your wedding.

And really, that’s the whole point.
